Visitor & Volunteer Guidelines

Southmont Schools' Board of Trustees and Administration hold the safety of our students as a top priority, and as such, require background checks for any person who might come into contact with students during the school day.  Beginning the 2017-2018 school year, to complement background checks that have been required for those volunteering in our schools, the district employed the services of SafeVisitor Solutions to conduct basic background checks on all visitors to our properties.  The following guidelines define both "Visitors" and "Volunteers" and how access will be granted to both.

Visitors

  1.  Visitors are individuals who are allowed to access the school through the front office to see a class performance, meet with a teacher, present to a class, or observe a school-wide performance.
  2.  Unless visiting a pre-approved large scale event, all visitors must provide a state-issued ID card to have an up-to-date search for the sex offender registry completed.
  3.  The front office must know ahead of time that the person will be visiting.
  4.  Visitors will be under the supervision of the hosting staff member at all times.
  5.  Visitors will not work with students or supervise students at any time.
  6.  All visitors, including family, friends and frequent visitors, must have a background search completed by presenting a valid state-issued ID.  The electronic system will use the visitor's ID information to complete a search of the sex offender registry.  If a visitor does not have a valid ID, he/she may not leave the office area.  If the visitor is known to be a parent/guardian, he/she may pick up his/her child.
  7.  Visitors without a "hit" will be allowed access to specified areas within the building.  A "hit" is defined as someone with one of three statuses/levels:  (1) violent sex offender, (2) offender against children, or (3) sexually violent predator.

Volunteers

  1.  Volunteers are individuals who are allowed to access the school through the front office to participate in a school event, to work with students, to assist a classroom teacher, or to serve as a chaperone on school field trip or during a school activity.
  2.  All volunteers must have an annual background check completed and on file at the administration building.  Please contact your child's school office to have this background check completed.
  3.  All volunteers must provide a state issued ID card to have an up-to-date search for the sex offender registry completed.
  4.  General guidelines for volunteering in our schools:
       - Anyone with a pending charge, who is on probation and/or supervised released, house arrest or has an active warrant may not volunteer.
       - Anyone who has been convicted of a felony may not volunteer.
       - Anyone convicted as a sex offender (as defined above) or a crime against a child may not volunteer.
       - Anyone currently on parole.
       - Anyone that misrepresents his or her criminal history may not volunteer.
